Booking, Pricing & Payment
Will I receive a confirmation from the moving company I selected?
Once you place your booking request and deposit, your move is reviewed by a MovingWaldo booking agent and sent to the mover for approval. You will receive an email confirmation from MovingWaldo once your movers have accepted your booking request. You will also receive a reminder 7 days before your moving date.
Most movers will contact you 24-48 hours before your move to confirm the details, but this is not guaranteed. If you have any doubt about the confirmation, don’t hesitate to contact us.
Can I book even if the moving date is not official?
Yes, you can change the moving date up to 72 hours before the move. However, note that the rates are not guaranteed if there is a date change, meaning that the new date you selected may have different hourly rates depending on the time of the week, month or year.
At what time is my move?
There are several arrival windows possible in our moving services marketplace. You will have the possibility to select your preferred arrival time while entering the details of your move.
Your start time is an arrival window, not a fixed appointment time. For example, an 8-9 AM arrival window means the movers are expected to arrive between 8 AM and 9 AM. This window will be included in your confirmation and reminder email.
How much notice should I give to book my move?
For the best availability and pricing, we recommend booking your move at least two months in advance. This increases your chances of securing your preferred moving date and time while potentially benefiting from lower rates.
If you’re unable to book two months ahead, no worries! We do our best to accommodate last-minute moves, even on the day of.
For moves within the next 72 hours, we recommend calling us so our team can review availability as quickly as possible.
Can I change or cancel my moving date without a penalty?
At MovingWaldo, we pride ourselves on being flexible and understanding that plans can change, sometimes at the last minute. You can request a date change without a penalty as long as you do so at least 72 hours before your scheduled move.
However, if you request a date change or cancellation less than 72 hours before your move, fees may apply and we will need to confirm availability with the mover. Please note that we cannot guarantee the same rate for your new date, as pricing may vary based on availability and demand. Our team is always happy to assist you, so feel free to reach out with any questions or concerns.
Do I pay MovingWaldo or the moving company?
You pay MovingWaldo, not the moving company. Once the move is completed, the moving company will log the final hours in our system. At the same time, MovingWaldo will process the payment using the credit card used for the deposit, and an invoice will be sent via email.
By having MovingWaldo handle the payment, you have an extra layer of support if an unapproved fee or invoice issue comes up after the move. Let us know if something does not look right and our team will review it.
What payment methods do you accept?
Credit cards are the standard accepted payment method. If you need another payment option, please contact your booking agent before moving day to see what can be arranged. If there are any issues with the invoice, please let us know and we will investigate.
Can I book with the mover directly?
You can book directly with a mover, but booking through MovingWaldo gives you the benefit of our support before, during, and after the move. We help coordinate changes, answer questions, review invoice concerns, and support the claims process when needed.
There is no extra cost to book through MovingWaldo. MovingWaldo is compensated by the moving company, not through an additional customer booking fee.
Is MovingWaldo charging me an extra fee to book with them?
No, we do not charge a fee for booking with us. MovingWaldo is compensated through a commission from the moving company, but we do not charge our customers any additional fees for using our service. Booking your move through MovingWaldo, as opposed to directly with a moving company, ensures an extra layer of protection and end-to-end support throughout your entire move.
How are moving quotes typically calculated?
Local moves are generally billed by the hour, plus any fixed or additional charges that apply to your move. These may include a truck fee, travel time, special item fees, stairs or access fees, packing materials, storage, or other services requested before or during the move.
Our algorithms calculate moving quotes based on factors such as the distance between your current and new address, hourly labor costs, estimated relocation time, your inventory, access conditions, and any additional services. While the quote provides a useful estimate, your final cost may vary depending on the actual duration and any additional services required on moving day.
Is the price fixed?
Prices are not fixed unless this is clearly specified in your quote. Local moves are usually charged by the hour, while long-distance moves are often priced differently, such as by shipment weight, distance, or shipment details.
Your estimate is based on the information you provide. If your inventory, access conditions, moving date, or requested services change, the final price may change as well.
What is travel time?
Travel time usually refers to the time it takes the movers to drive from their warehouse to your origin address, and then back to their warehouse after the move is completed. Some moving companies charge this time because it is part of the crew and truck time required to complete your move.
If travel time applies to your move, it should be shown or explained in your quote.
What are special item, stairs, or access fees?
Some moves include extra fees for items or access conditions that require more labour, equipment, time, or planning.
Special item fees may apply to heavy, fragile, or bulky items such as pianos, spas, pool tables, large appliances, oversized furniture, or outdoor equipment. Stairs or access fees may apply when movers need to carry items through several flights of stairs, a walk-up apartment, a townhouse with multiple levels, a building without an elevator, a long carry, or another access constraint.
The best way to avoid surprises is to provide complete details in your moving form, especially in the special items and access sections.
How long will my move take?
The duration depends on the size of your move, the number of movers assigned, the truck size, the distance between addresses, stairs, elevators, parking, long carries, disassembly, packing, and any special items.
MovingWaldo estimates the labour and transportation time upfront based on the information you provide. These are planning estimates, not fixed values. If the inventory or access conditions are different on moving day, the move may take more or less time.
What happens if my move takes less time than estimated?
Since most local moves are billed by the hour, you generally pay for the time the move actually takes, subject to the minimum billable time shown in your quote.
Keep in mind that professional movers need time to protect your furniture, floors, doorways, and belongings before loading the truck. Trying to rush the crew can increase the risk of damage or missed details.
What taxes apply to moving services?
Taxes depend on the type of move and the origin and destination addresses. Local moves in Canada are generally subject to applicable federal and provincial taxes. For long-distance moves, taxes may vary based on the destination. International moves may be treated differently.
Your quote or final invoice will show the taxes that apply to your specific move.
Can I save money if I move at a specific time of the month?
Our moving services marketplace features an innovative digital calendar that allows you to select your moving date while viewing price variations based on demand. Movers’ rates fluctuate depending on the time of the month and day of the week, allowing you to choose a more affordable option.
Typically, moving between Monday and Thursday offers the lowest rates since demand is lower. In contrast, weekends and the end of the month tend to be more expensive due to higher demand. To save money, consider scheduling your move on a less busy day.
Do I have to tip the movers?
Tipping your movers is not mandatory, but it is a common practice that many people choose to follow. Movers greatly appreciate tips, and if you’re satisfied with their service, you are welcome to offer one. A general guideline is to tip $5 per hour per mover. Please note that tips are not included in the estimate or final payment. If you decide to tip, you may do so in cash, and this remains entirely independent of MovingWaldo.
Moving Day, Access & Equipment
What happens if my furniture does not fit in the truck?
If your furniture or boxes do not all fit in the truck, the movers may be able to offer a second trip depending on their schedule, distance, and availability. A second trip is not guaranteed and is usually charged by the hour, including the additional driving time between addresses.
Providing a complete inventory before moving day helps us recommend the right truck and crew size from the start.
Do I need to be on site for the move?
Yes. You, or someone you trust, should be on site to guide the movers, answer questions, confirm what is being moved, and give access to the origin and destination.
Can I help load and unload?
For safety and insurance reasons, it is generally not recommended that clients help load or unload the truck. Some movers may allow limited help, but the moving crew should remain responsible for handling the move.
Can I ride in the moving truck?
Most of the time, no. Moving trucks usually do not have extra passenger space, and insurance rules may prevent clients from riding with the crew. You can ask your mover or booking agent if you have a specific situation.
Who reserves the elevator, loading dock, or parking?
The client is responsible for reserving any elevator, service elevator, loading dock, loading zone, or parking space required for the move. If a parking permit is needed in your city or neighbourhood, you are responsible for arranging it and for any parking tickets issued during the move.
If an elevator is needed at the origin, we recommend booking it for the mover’s arrival window or within 30 minutes after that window starts. If the elevator is at the destination, your booking agent can help you estimate the best reservation time based on the move size and travel distance.
What equipment and protection will the movers bring?
Movers generally bring the standard equipment needed for the move, such as a truck, dollies, moving blankets, straps, basic tools for disassembly when required, and floor protection when needed.
Wardrobe boxes, TV boxes, packing supplies, and other specialty materials should be requested in advance and may come with additional fees. If you still have the original box for your TV, it is helpful, but it is not always required. Movers can usually protect TVs with moving blankets or offer a TV box when arranged ahead of time.
Special Items, Packing & Storage
Can you move heavy, bulky, or specialty items?
Yes, many movers in our network can move heavy, bulky, or specialty items such as pianos, spas, pool tables, large appliances, outdoor swings, oversized furniture, and other complex items.

Will movers disassemble and reassemble my furniture?
Yes, movers can generally disassemble and reassemble common furniture when it is required for safe transport. They usually bring basic tools for this purpose.
Some furniture, especially items made with particle board or fragile fasteners, may not be designed to be disassembled and reassembled multiple times. These items can be more vulnerable to wear or damage, and exclusions may apply depending on the mover’s policy.
Can movers pack my home?

Can you move me to another province?
Yes. MovingWaldo works with movers who can handle moves to another province. You can fill out the moving form or speak with a booking agent so we can match you with options for your route.
Can you move me to another country?
Yes. MovingWaldo can help with select international moves, including Canada to United States moves. International moves often require more planning, documentation, customs coordination, and specialized mover availability, so it is best to start early.
Can you move a large home?
Yes, movers in our network can handle moves of many sizes, including large homes. For bigger moves, complete inventory details, photos, access notes, and planning time help us assign the appropriate crew, truck, and schedule.
Do you do office moves?
Yes, MovingWaldo can help with office moves. If your office move is large or involves equipment, elevators, building rules, or multiple phases, please speak with your booking agent so the details can be reviewed properly.
Do you do item deliveries or single-item moves?
MovingWaldo does not specialize in delivery services. When a mover in our network can take on a micro-move or single-item job, it is treated like a regular move and billed by the hour. A minimum billable time applies to each quote, so verify that minimum before booking. Availability depends on the item, route, and mover.
Can you send movers without a truck?
Some movers may be able to provide a labour-only crew without a truck, depending on availability and the type of work required. In many cases, the rate may be similar to a crew with a truck because the same team, scheduling, and labour time are involved.
Claims, Insurance & Reviews
Are all the moving companies insured?
Every moving company on our Waldo Verified network must provide proof of active liability insurance and cargo protection before joining our platform. These certificates are reviewed as part of our verification process, helping ensure that uninsured movers are not part of our marketplace.
Additionally, all of our partners provide the industry-standard protection of $0.60 per pound per item under Released Value Protection for any damaged items. Most of our partners offer additional coverage. There are associated fees, and the purchase of this protection must be made before the move.
If I pack my own items, will they still be covered by the protection?
If your items are properly packed and any visible damage is clearly due to the movers’ negligence, the damage may be eligible for protection. Conversely, if your items are not adequately packed or lack the necessary protection, the moving company may not be liable for the damage. If you choose to pack your own items, it’s best practice to take photos as evidence of proper packing.
Additionally, all our partners offer industry-standard Released Value Protection at $0.60 per pound per item for any damage incurred. If you need to file a claim for broken items, simply complete our claim form and our team will provide the guidance you need to resolve the situation with your moving company.
What happens if movers break something?

MovingWaldo Verified reviews come from customers whose moves were booked through our platform, and we also display Google reviews for the mover. Moving companies become Waldo Verified through a rigorous vetting process.
