Reminders on your upcoming long-distance move

If you have an upcoming long-distance move with MovingWaldo, please consider the following:

  • Keep an eye on your phone, your movers will contact you shortly to schedule your pickup date and time. 
  • Notify us and/or your mover of any changes to your moving plan.
  • Be as ready and packed as possible to ensure a smooth move. Here’s MovingWaldo’s moving checklist.
  • Ensure there is parking available for the moving truck. The closer to the access door, the better the move will go. 
  • Confirm parking or elevator instructions with your mover.
  • Move jewelry and small valuable items yourself to limit liability.
  • Movers reserve the right to refuse to handle certain items they deem hazardous (flammable, toxic, or contaminated by mold or infestation), or may require a waiver of liability for any item that cannot be properly protected.

Payment and Final Weight

  • As explained in the estimate, the final cost of your move will be based on the actual weight of your shipment. Once the moving company has weighed your belongings and shared the billing details, we will finalize the invoice and process payment on the credit card provided for the deposit. In some cases, the moving company may invoice you directly. MovingWaldo will notify you if this applies to your move. If you are unsure who to pay, please contact your booking agent. 
  • Payment must be completed in full prior to delivery as per our Terms of Service.
  • Changes to your inventory could impact the final cost. To plan accordingly, please make sure to inform your booking agent of any changes to your inventory or to your moving plan. If incorrect information was provided in your estimate, please let us know.

Delivery window

As a reminder, delivery dates are not fixed unless specified. The moving company will contact you as soon as they have information regarding delivery. They are responsible for planning delivery.

Packing for long distance moves

  • For long-distance moves, all items must be properly packed and fully boxed prior to moving day. This includes (but is not limited to) lamps, artwork, mirrors, televisions, electronics, and fragile items. No loose or unboxed items will be accepted for transport.
  • Please use sturdy, rigid cardboard boxes, durable plastic bins designed for moving or suitcases. Boxes must be in good condition and able to withstand handling and long-distance transit. Any damaged, overfilled, or unstable boxes may need to be reboxed by the movers to ensure the safety of your belongings, at your own expense. 
  • If items are not adequately packed at the time of pickup, the movers will be required to pack or repack them on site. Additional packing materials and labor will be charged accordingly. Proper packing helps prevent damage, delays, and unexpected costs, and ensures your shipment can be transported safely.
  • Dressers, cabinets, wardrobes, and drawers must be emptied to avoid damaging the item’s integrity.

Insurance and liability

  • The moving company which will perform the move will be insured with a duly registered insurance company for public liability and material damage.
  • For your information, basic protection in the moving industry is 60 cents per pound per damaged item. Most of our partners offer additional coverage. There are associated fees, and the purchase of this protection must be made before the move. Ask your booking agent for more details.
  • In case of damages during the move, the moving company may be held liable, subject to the terms and exclusions outlined in the Terms of Service.
  • This does not cover damages that occurred before the move or damages resulting from undisclosed conditions existing before the start of the move.

Claim Process Assistance

While the claim process must be conducted directly with the moving company, MovingWaldo is dedicated to supporting you every step of the way. To do so, we have a page dedicated to our claim process. We strongly encourage reviewing this page prior to the move. Please note the following:

  • The claim process must be started as soon as possible. Please fill out this online form or reach out to us within 48 hours of the delivery.
  • Your move must be paid in full in order to process a claim.
  • MovingWaldo will hold payment to the moving company for a minimum of 5 days after delivery. Please note that once the moving company has been fully paid for the move, MovingWaldo has no authority over the outcome of the claim.

Cancellation and Rescheduling Policy

Cancellation Policy

  • You can cancel your move free of charge within 10 days of accepting the estimate if it is at least 72 hours before the scheduled pickup date. Please send us an email at bookings@movingwaldo.com.
  • After 10 days, cancellations made at least 72 hours before the move will incur a $100 fee.
  • Cancellations made less than 72 hours before the move will be charged 3 hours at a $250 per hour rate.

Rescheduling Policy

  • Requests must be made at least 72 hours before the move.
  • Rescheduling within 72 hours will incur a fee of 3 hours at a $250 per hour rate.
  • Your pricing is locked in for the original moving date. If the move is rescheduled, rates and fees may be adjusted to reflect the new date.
  • The original moving company’s availability is not guaranteed. If unavailable, MovingWaldo will help find a new provider, and the estimate will be updated based on the new provider’s pricing.
